Increasing work efficiency is an important element that allows to increase the quality of customer service and reduce costs. The correctness and credibility of data used in inventory management and warehouse operations play a significant role in this respect. To achieve the intended performance and short order processing time, it is necessary to quickly and easily search for stocks in the warehouse. What is more, it is important that warehouse staff can focus not on computer records but real warehouse operations.

In order to provide buyers with high quality services, companies should have correct data on stock availability in the warehouse. In order to precisely specify the date of delivery, it is necessary to have complete information about inventory and expected deliveries within a certain time. Stock availability is the amount of inventory expected by a given company for a given day. This definition goes beyond the current amount of inventories and includes factors such as: allocations, understood as amounts reserved for specific purposes and quantities waiting for incoming orders, i.e. in future deliveries.

In the ERP Microsoft Dynamics NAV system, the availability of each stock can be checked according to various criteria, eg availability of stock by event, by period, by variant, by location, by BOM level, or availability of stock on the time axis.

The functionality of stock tracking in the ERP system is easy to use and provides comprehensive information related to inventory. The functionality works on the basis of serial numbers and batch numbers and allows the receipt or release of several stocks with serial numbers or batch numbers from a single order line. The program records the transaction history of each stock having a serial number or batch number in inventory tracking records, allowing tracking of individual stocks throughout the entire supply chain.

In the case of companies operating within supply chains, the flow of goods is often very complicated. Therefore, the ability to track inventory is of special importance. Monitoring the flow of transactions for all stocks is a compulsory process in many enterprises; and in others it is treated as an element that facilitates tracing products under warranty or with a specified expiration date.

• defining packaging,
• collecting data on sales and consumption of stocks with packaging,
• calculation and reporting of tax on packaging for the aforementioned transactions and inventories.

At any time, users can physically count stocks to reconcile with the quantity and value recorded in the system. The Dynamics NAV system has an inventory document report that contains posted values and quantities of inventory and names of company representatives who, with their own signature, confirm that the amounts and amounts shown in the document are consistent with the real state of stock.

Typical warehouse operations registered in the Microsoft Dynamics NAV system include: inventory writing, value revaluation and inter-warehouse shift. The system allows you to print a document. Shift the inventory available in the Inventory Inventory dialog. Additional reports documenting warehouse operations are available in the ERP system:

• Document from the state of the warehouse – available in the Inventory Logs window before posting the operation;
• Posted document from the state of the magazine – available in the reports of the Finance Management module after posting the operation;
• Inventory revaluation document – available in the Revaluation reports window before posting the operation.

At the end of the accounting year, users make a physical inventory count in order to reconcile them with the quantitative and valuable status recorded in the Microsoft Dynamics NAV system. As part of the ERP system, the Inventory Document report was added, which can be archived by the accounting department as a confirmation of completion of the inventory process. The inventory document presents the booked values and quantities of inventory and names of the company’s representatives who, with their own signature, confirm that the amounts and amounts shown in the document are consistent with the actual stock.

The accession of Poland to the European Union resulted in the imposition of a new reporting obligation on entities engaged in trade in goods with the European Union Member States. This obligation consists in providing customs authorities with information on trade in goods with EU countries. Under Intrastat, companies are required to report monthly the flow of goods to statistical authorities and provide a report to tax authorities. The Microsoft Dynamics NAV ERP system includes tools facilitating the preparation of Intrastat declarations and various other functions in this area, including the possibility of exporting Intrastat declarations in XML file format.
